HubSpot stale deals report: the open deals nobody has touched, by rep and stage

The pipeline board shows where every deal sits. The question before the Monday review is which deals have had no activity in two weeks, no task coming, and how long they have sat there.

A small-business reviewer on G2 wrote in May 2026 that before HubSpot there was "no reliable way to see what stage a lead was in, when it was last touched, or where deals were stalling." The pipeline board fixes the first part: every deal has a stage and a card. The second and third parts are still a question you answer by opening deals one at a time. A mid-market reviewer in April 2026 described building a list of deals "that have not been communicated in a certain number of days" and added: "Right now I rely on another person on my team to build them instead and then I modify them as best I can."

What the report shows

A stale deals report, every Monday at 8:00, lists every open deal that has had no logged activity in the last 14 days and no upcoming task:

  • deal, rep, pipeline and stage
  • the amount
  • how many days the deal has sat in its current stage
  • the date of the last activity

A second table groups the same deals by stage, so you can see whether the pipeline is going quiet at qualification or at the proposal.

Two rules that keep it honest

"No activity" is an absence, so it is read from each deal's last activity date and next activity date, never from a count of activity rows: a deal nobody touched has nothing to count. And days in stage is counted from the most recent stage change, not from the day the deal was created, so a deal that moved last week does not look old because it was opened in March. Only open deals appear; a closed won or closed lost deal is never stale.

Why it is worth a schedule

The alternative is about an hour a week clicking through every open deal to see when it was last touched, which is the hour that disappears in a busy week. What the hour hides is worse: a pipeline full of dead deals forecasts a quarter that was never going to happen.

How Captain Hudson does it

Describe the report in a sentence, with your own cutoff if 14 days is not yours. Captain Hudson shows you the plan before anything runs, then builds the report from the deals, pipelines and owners in your own HubSpot account, every Monday, with a note on how each number was produced. Your HubSpot data is used for your account only, never used to train a model, and deleted when you uninstall or ask. The ready-made version is below.

A funnel that drops every deal that skipped a stage understates every stage it skipped. The honest funnel counts a deal as having reached the stages it passed through, in the pipeline's own order.
